Efficient management of book checkouts and returns using RFID: Case study

【Customer's Issues】 Since management was only done through an Excel ledger, while newly added documents were accurately entered, management of checkouts and returns was not possible. If necessary materials could not be found, it was unclear whether someone had checked them out, they had been discarded, or they were lost, leading to time-consuming searches. We want to manage documents easily without placing a burden on users.

【System Configuration】 A client-server configuration with one database server and two client PCs. Client PCs and stationary RFID readers are installed in two storage locations, allowing check-out and return registration to be performed at either location. Two RFID handheld devices have also been introduced to conduct inventory within each storage area. The registered information is centrally managed in the database, enabling each PC to check the latest inventory status and historical information. 【Effects After Implementation】 By simply scanning the IC tags, check-out and return registration can be performed, reducing the burden on users and achieving accurate check-out and return operations. Since inventory status and check-out status can be grasped instantly, it has become possible to continuously monitor the inventory of books, reducing unnecessary tasks such as searching for items that have been checked out. By checking the expected return dates, it has also become easier to plan subsequent schedules. Before implementation, inventory checks could not be conducted, but with the ability to perform bulk reading by simply holding up the handheld device, monthly inventory checks have begun. Approximately 8,000 books were inventoried in about 2 to 3 hours of work. New operations have become possible, such as regularly searching only for books that have not been inventoried for a long time.
